Convocation 2012 – Information for Program Coordinators

Convocation 2012: June 11 – June 14

Living Arts Centre, 4141 Living Arts Drive, Mississauga

  1. Arrive at the ceremony 90 minutes prior to the event start. Please note: the processional will begin 15 minutes prior to the start of the event.

  2. Proceed to the Royal Bank Theatre and collect a robe, the hood and Convocation program. On arrival, please check in with the Marshall Coordinator. Wait to be escorted through the back halls to Hammerson Hall where you will be presented with a brief 1 hour and 15 minutes prior to the event.

  3. Following the briefing, proceed to the Grad Marshalling area on the second floor at least one hour prior to the event. Greet your grads by the sign indicating your program name. If you have more than one program for which you are responsible, please go the program sign listed first in the Convocation program.

  4. Arrange your grads in alphabetical order and help to keep them in place. If you have more than one program, please ensure that both groups are in alphabetical order. Convocation staff will be available to assist.

  5. Lead your grads in the procession. Sit with your grads during the ceremony and, following the lead of the staff marshalling the grads, lead your graduates to the stage. Follow the continuous flow of graduates up to the stage. It is imperative that Program Coordinators follow the lead of the staff marshalling the grads.

  6. Once you have reached the stage, hand your card to the Designated Reader at the podium and proceed to the liripipe position on stage (stage left, audience right). The designated reader will read your name and the name of your program as you walk across the stage to your position. As each of your grads crosses the stage, you will place a liripipe on his/her left shoulder. Once all of your grads have crossed the stage, please take a seat behind the Executive Party on stage for the remainder of the ceremony.

  7. Following the ceremony, please return the robe and hood (if applicable) to the Royal Bank Theatre.

  8. Sheridan hoods will be available in the Royal Bank Theatre. Faculty and/or staff who wish to purchase or rent academic hoods from their particular alma maters may do so by contacting:
